How to Set Up QuickBooks Workforce and View Your Pay Stubs
Payday is wonderful. Hunting for your pay stub like it is a missing sock in the laundry? Less wonderful.
If your employer uses QuickBooks Online Payroll, they may invite you to use QuickBooks Workforce, the employee portal where you can view payroll details online. Once your account is set up, you can check your pay stubs, see payroll history, and access year-end forms when your employer makes them available.
This guide walks through the setup from invitation email to “ah, there’s my pay stub.” No accounting degree required. No calculator visor required. Just your email, an Intuit account, and a few minutes.

What QuickBooks Workforce is
QuickBooks Workforce is an online employee portal connected to QuickBooks Online Payroll. Your employer controls what payroll information appears there. When they invite you, you can sign in and view the documents they have shared.
Depending on what your employer has enabled and processed, you may be able to see:
Pay stubs
Payroll history
Year-end tax forms, such as T4 forms, when available
Some personal payroll details, depending on employer settings
Think of it as a secure filing cabinet, minus the squeaky drawer and mystery paper clips from 2014.
For employees, the main benefit is simple: you do not need to ask someone for a copy every time you need a pay stub. You can log in when you are applying for a rental, checking a deposit, filing records, or trying to remember why your net pay changed after deductions.

Before you start, make sure you have what you need
Setting up access is usually quick, but a little prep helps. Before clicking around, make sure you have these items ready:
Access to the email address your employer used for payroll
The invitation email from your employer or payroll admin
An Intuit account, or the ability to create one
A secure internet connection
A device you trust, such as your personal phone, tablet, or computer
Avoid setting up payroll access on a shared public computer. Your pay stub includes private information, and public devices are the digital equivalent of leaving your wallet on a bus seat.
If you have more than one email address, check the one you gave your employer. The invite is tied to that email. If the invitation went to an old address, ask your employer to resend it to the correct one.
Set up your Workforce account
The setup process begins with the invitation from your employer. You cannot fully connect to your payroll information unless your employer has invited you.
1. Check your email for the invitation
Open your email and look for an invitation to join Workforce or view your payroll information through Intuit.
If you cannot find it, check:
Spam
Junk
Promotions or updates folders
Deleted items
Any older email address you may have used for payroll
Search for terms like `Intuit`, `Workforce`, `payroll`, or your employer’s name.
If the email still does not appear, ask your employer or payroll administrator to resend the invitation. This is common, especially if the invite was sent during onboarding when everyone was juggling forms, passwords, and the eternal mystery of the break room fridge.
2. Open the invitation link
Once you find the email, open it and select the invitation link. This will take you to the Intuit sign-in or account creation page.
Use the link within the invitation rather than searching randomly online. The invitation connects your Intuit account to the payroll records your employer has shared. Without that connection, you may end up signed in but unable to see anything useful, which is like opening the fridge and finding only mustard.
3. Sign in or create an Intuit account
If you already have an Intuit account, sign in with your existing email and password.
If you do not have one, create an account during setup. You may need to provide basic details such as:
Name
Email address
Phone number
Password
Use a strong password that you do not use elsewhere. Payroll information is sensitive, so this is not the place for `Password123`, your pet’s name, or the name of your favourite hockey team plus your birth year. The internet has seen all those tricks.
You may also be asked to verify your identity with a code sent by email or text. Enter the code when prompted to continue.

4. Accept the employer invitation
After signing in, follow the prompts to accept the invitation. This step connects your Intuit account with the payroll information your employer has shared.
If you skip this or close the window too soon, your account may exist, but your payroll documents may not show up. If that happens, go back to the invitation link and try again.
Once the connection is complete, you should be able to access your Workforce account and view available payroll information.
5. Save the sign-in page for later
After setup, bookmark the Workforce sign-in page or save it in your password manager. You do not need to dig through the original email every payday like an archaeologist brushing dust off an ancient scroll.
For future visits, sign in through the Workforce portal using your Intuit account.
View your pay stubs
Once your account is active, viewing pay stubs is the fun part. Well, “fun” in the payroll sense. Nobody is throwing confetti, but finding the document you need in under a minute is its own tiny celebration.
1. Sign in to your account
Go to the Workforce sign-in page and enter your Intuit account credentials.
If multi-factor verification appears, complete it using the code sent to your email or phone. This extra step helps keep your payroll information private.
2. Go to the pay section
After signing in, look for the area that shows pay stubs, payroll documents, or pay history. The exact wording may vary, but it should be clear from the dashboard.
If you work for more than one employer that uses the portal, make sure you are viewing the correct employer. Otherwise, you may stare at the screen wondering why the numbers look strange. Spoiler: wrong employer.
3. Select the pay period
Choose the pay date or pay period you want to review. Pay stubs are usually listed by date, with the newest ones easy to find.
Open the pay stub to review details such as:
Gross pay
Taxes and deductions
Net pay
Hours, if applicable
Employer details
Pay date
Your pay stub is not just proof that payday happened. It is also a useful record if you need to confirm income, review deductions, or compare the deposit in your bank account.
4. Download or print the pay stub if needed
If the portal offers download or print options, you can save a copy for your records.
Use smart file habits:
Save the file somewhere secure
Avoid storing payroll documents on shared devices
Rename the file clearly, such as `Pay Stub - 2026-01-16`
Delete extra copies you no longer need
If you print a pay stub, keep it somewhere safe. Pay stubs can include personal details, and they deserve better than being shoved into a glove compartment beside old gum wrappers.
Find year-end tax forms when they are available
Your employer may also use Workforce to share year-end forms, such as T4 forms, when available. These forms usually appear after your employer has processed and released them.
If you do not see a year-end form yet, it may not be ready. That does not always mean something is wrong. Payroll teams have to finalize records before forms can be shared.
When checking for tax forms:
Sign in to Workforce
Look for a tax forms or documents section
Choose the available year
Download the form if you need a copy
If you believe a form should be available but cannot find it, contact your employer or payroll administrator. Intuit provides the portal, but your employer controls your payroll records and release timing.
What to do if you cannot access your account
Technology loves to behave perfectly until you actually need something. If Workforce is not cooperating, try these fixes before shaking your fist at the Wi-Fi router.

Keep your payroll information safe
Your pay stubs contain personal information, so treat your Workforce login like you would treat online banking access. Maybe with slightly less dramatic music, but the same general caution.
Use these habits:
Create a strong, unique password
Turn on verification steps when prompted
Do not share your login with anyone
Avoid signing in on public or shared devices
Sign out when you are done
Keep downloaded pay stubs in a secure folder
Be careful with email attachments that claim to be payroll documents
Also watch for fake emails. If an email feels odd, uses strange wording, or asks for your password directly, do not click. Go to the sign-in page yourself or ask your employer if the message is legitimate.
Your employer should never need your Intuit password to help with payroll access.
If someone asks for it, that is your cue to hit pause.
When to contact your employer
Some issues can only be fixed by your employer or payroll administrator. Workforce shows payroll information, but your employer manages what goes into it.
Contact your employer if:
You never received the invitation
Your email address is wrong
A pay stub is missing
A pay amount looks incorrect
Your name or personal details need updating
A year-end form is not available when expected
You left the company and need continued access or copies
Be specific when asking for help. Include the pay date, the email address you used, and what you see on screen. Do not send sensitive documents unless your employer requests them through a secure method.

Your setup is done when pay stubs are easy to find
You have successfully set up Workforce when you can sign in, choose your employer if needed, and open your pay stubs by date. That is the goal: quick access to your payroll records without sending a “can you resend my stub?” message every second Friday.
